Our staff is available Monday through Friday from 8 a.m. to 5 p.m. Mountain Time to take your orders and answer your questions. FAX orders may be sent at anytime. US based charge cards only (International charge card will not be accepted). International customers will be pre-pay by wire transfer only.

Certain Products have Minimum Shipping Level Requirements:
These products will be listed as such on the product page. If you select a shipping level below the min required level, the shipping will be adjusted and the shipping cost will be adjusted accordingly. This is typically required for items that are perishable and it’s non-negotiable.


During periods of high temperatures, we will require next day shipping but we will split the freight with our customers.
This is to guarantee the bugs arrive alive. It’s the only way when it’s hot.

All orders sent direct from the insectaries will be sent by Next Day Air Only!

If you see a message like this one:

Galendromus occidentalis are sent direct from the Insectary Next Day Air.

Next to any product, this means that the item will NOT be brought into Hydro-Gardens and will ALWAYS be sent direct from the insectary. All of the insectaries ship their products by Next Day Air ONLY. We have no control over this. However, the insectaries are willing to reduce the Next Day Air charges to get them closer to 2nd Day Air rates.

The reason for the Next Day Air ONLY rule from the insectaries is to guarantee that the product is in the best condition possible. Most of the beneficials that fall into this category are very sensitive to heat or cold during shipping. Again, there is nothing we can do.

The shipping weight of beneficial insects is given on the web site but shouldn’t be considered accurate if you buy more than one item. The reason for this is that we can put several types of insects into the same box and still have it ship at one pound. Example: if you were to order 1mil Nematodes they would ship at the same weight as if you ordered 6 @ 1mil. So you can see there is no way of accurately estimating the shipping weight. However you can be relatively sure that most of the orders will ship at the one pound rate. If you have any questions about this, please feel free to contact us and ask.

Limited Warranty On Beneficial Insects

Hydro-Gardens will guarantee the insects will arrive alive to you. On the rare occasion that part or all of a shipment arrive with dead beneficials, we will replace them one time. You are required to notify Hydro-Gardens within 48 hours of delivery. We will send a replacement as soon as possible.
If you don’t notify us within 48 hours, the guarantee will be void.

Your address label lists your account number, company name, and mailing address. If any of this information is incorrect, please notify us so that we may update our records.


DISCOUNTS ALLOWED


On orders above the amount of $300.00, a cash with order discount of 3% can be deducted if payment is made prior to shipping. 
This does not apply to Credit Cards.


SHIPPING REQUIREMENTS:


All freight is FOB Colorado Springs or
Factory location for factory direct shipments.


COMMON CARRIER SHIPMENTS:


Please specify the Freight Line you prefer to have handle your orders. Orders in excess of 300 lbs. will normally be shipped by truck at the least cost, unless otherwise specified.


FOREIGN CUSTOMERS:


Please pay invoices in U.S. dollars. US based charge cards only (International charge card will not be accepted). International customers will be pre-pay by wire transfer only. Please specify your desired method of shipment. All seed shipments are subject to customs inspection regardless of shipment method. All charges that result from import duties or customs inspections will be borne by customer.


LIMITATION OF WARRANTY:


Hydro-Gardens gives no warranties express or implied, including the warranties of merchantability and fitness for a particular use for any product it sells, except as otherwise expressly given by the manufacturer of the product. The purchaser agrees that the limit of liability of Hydro-Gardens for all claims for loss or damage due to any cause shall not exceed the invoice price of the product in question.


DAMAGES ON FREIGHT:


Damage claims must be initiated by the customer. Call us with any problems you have and we will take care of the claim. Please tell the driver about the damaged item and have them make a note in their records. TAKE PICTURES as much as possible. Save the package and phone us as soon as possible (Must be within 48 business hours). DO NOT send anything back or refuse the shipment unless you have called and received a Return Merchandise Authorization number.


INSPECT ALL SHIPMENTS:


Hydro-Gardens tenders freight to the carrier in good condition. It is the responsibility of the carrier who acts as your agent to safely deliver your shipment. It is imperative that you examine your shipment carefully for damage or shortage, and have the driver note any discrepancies on the bill of lading. Do not refuse any shipment that has damage or shortages, as this is your property, and refusal causes unnecessary delays and storage charges. Arrange with the carrier to have damaged articles returned marked “Deadhead For Repair or Replacement”. Hydro-Gardens will be glad to render any assistance necessary to trace and recover lost goods, and will work with you and the carrier in resolving damage claims.


AMERICAN COOLAIR SHIPMENTS:


American Coolair Shipments: American Coolair has a very strict ZERO TOLLERANCE shipping policy. If you don’t inspect your entire shipment and get ANY damage noted on the B.O.L. when it arrives, you will NOT be able to file any claim and they will absolutely NOT pay for any replacements. It’s very much a “Caveat emptor” (let the buyer beware) situation with Coolair. Here is a copy of their policy that you MUST be aware of and follow 100%.

“Responsibilities of the Consignee

Important rules that the customer/consignee who is receiving a shipment of freight from American Coolair must follow:

  1. On arrival, immediately inspect the shipment for signs of damage.
  2. Compare the actual number of shipping units to the number listed on the delivery receipt.
  3. Be sure to note any damage or shortage exceptions on the delivery receipt.
  4. Sign the delivery receipt. Be sure to make note of any and all signs of possible damage as well as the number of pieces you are receiving.
  5. If the shipment has a large amount of damaged pieces, refuse the shipment or the damaged pieces.
  6. Notify (Coolair Rep Name Here) immediately of any damages or shortages. Failure to do so will delay replacement of the missing or damaged items.

A signed delivery receipt with no exceptions is called a “clear delivery.” Clear deliveries mean that there were no shortages or visible damage at the time of delivery.

American Coolair Cannot File Claims For Damages Or Shortages On Shipments With Signed Clear Delivery Receipts. The Consignee may file a claim for hidden damages on a clear delivery but the freight lines will usually only pay a portion (1/3 to ½) of the claim amount. The bottom-line, inspect and count: if in doubt make an exception. It is so important that the consignee be aware of these responsibilities that I am including an attached word document with this information. Please put your company name in item number six and send this out to all of your customers.”

This policy is their policy and Hydro-Gardens will not be able to supersede this policy. This is a risk that you incur when you purchase any American Coolair products and you purchase them knowingly accepting this responsibility.

RETURNED MERCHANDISE:


 DO NOT return merchandise without a RETURN AUTHORIZATION NUMBER! Requests for returning merchandise must be made within 30 days of receipt of the merchandise. The return will only be accepted when it is accompanied by a RETURN AUTHORIZATION NUMBER given by an authorized representative of

Credit extended for approved returns will be based on actual invoice value at the time of shipment. Returns will be assessed a 15% handling charge unless otherwise specified in writing by our representative. All charges incurred by the return of goods will be at the buyer’s expense.


PAYMENT TERMS AND CONDITIONS:


First time customers will by required to pay by charge card or pre-pay. US based charge cards only (International charge card will not be accepted). International customers will be pre-pay by wire transfer only. For all open account customers, invoice payments are due by 30 days after the invoice date (NET 30). A service charge of 2% per month (24% APR) will be charged on all invoices not paid within 30 days.


BUSINESS HOURS:


Offices and phone orders; 8:00 a.m. to 5:00 p.m. Mountain Time – Monday through Friday. However, the fax machine and answering machine are on 24 hours a day 7 days a week. We check our E-mail first thing in the morning during normal working hours.
